Top tips for e-mail etiquette...

Research by a business association in Ireland (ISME) revealed that 48% of member companies surveyed now claim to use email for more than half of their business correspondence, an increase of 4% on 2005 and 14% on 2004. It was also found that although many companies still like to use the telephone, however the majority of SME’s now prefer to receive emails for all types of incoming communication.

There are also legal and security issues with emails for both staff and the company, but they are still being ignored. A recent survey in the US revealed that 2 out of 3 US employees using email at work have sent or received email that could place their company at risk

When we were researching courses for the Events Industry Skillnet, e-mail etiquette came up quite a bit.

With all this talk and information being published about e-mails and netiquette, we decided to check it out further and asked one of our NEO members who is an expert in the field to tell us how to survive in an e-mail dominated environment. Karen Sommerville of Call Focus put this together for us.

Karen’s top five tips!

  • Do not write in CAPITALS - it comes across as aggressive and annoying.
  • Check e-mails before you send them so you have the correct spelling, grammar and punctuation. Also, take care with abbreviations and emotions
  • Don’t send or forward emails containing libelous, defamatory, offensive, racist or obscene remarks. Do not use email to discuss confidential or sensitive information.
  • Keep your e-mails simple. If your message is longer then the screen page, don’t send it as an e-mail, but as an attachment.
  • Make sure you have a relevant subject heading for each e-mail, and avoid using URGENT and IMPORTANT.

Avcom get some great feedback from another event

Back in March, Avcom were host to the Barco European Golden Rental Partners Meeting.

Barco is a world leader in professional markets, in which it offers display and visualization solutions. Based upon in-depth market knowledge, the company designs and develops solutions for large-screen visualization, display solutions for life-critical applications, and systems for visual inspection.

Each year Barco select a different venue for their European audio-visual rental customers to inform them of the latest developments and to allow their customers to network.

Avcom Ltd, have been using Barco products in the rental market in Ireland for the past 26 years and as a result have built a very strong working relationship with Barco. Avcom were contacted to source a castle and provide the remaining audio-visual equipment required for Barco’s annual Golden Rental Partners Meeting, to be held in Ireland for the very first time.

Avcom

Their requirements were a venue near to Dublin Airport and a ballroom large enough to accommodate their high end video projection equipment, LED Screens and peripheral equipment. While the attendee numbers were relatively small, their huge range of large venue projectors and LED screens, necessitated a room with a high ceiling and large enough to display all the audio-visual equipment.

Avcom enlisted the help of Dublin Convention Bureau to source a suitable venue and as there wasn’t a castle within easy reach of Dublin Airport that met Barco’s requirements, two venues were proposed to Barco. The Crowne Plaza Hotel was selected for the plenary sessions which accommodated both the required floor space for the exhibition and the required number of rooms for the attendees. Clontarf Castle, a perfect blend of a boutique and luxury hotel, provides unique style and exceptional service in comfortable surroundings was selected for the Gala Dinner. The ancient Castle walls hold firm the traditions of Ireland - a welcome as warm and grand as the Great Hall itself. Avcom along with the Barco Team began the audio-visual set-up on Friday 16 th of March, which comprised of an Alcons line array pa system, stage lighting and rigging for all the equipment including Barcos range of new projectors and LED screens. The meeting started on Tuesday the 20 th March and finished on Wednesday 21 st March.

The gala dinner was held in Clontarf Castle on the second day. Avcom supplied and sponsored all the outdoor lighting and effects. The front of the castle was completely covered in coloured lights and a Celtic motif by 6 Martin Mac units and two Citycolors. The delegates were dropped off at the end of the driveway, so as they walked up the driveway to the castle they were met by medieval flame torches and 20ft balls of flames were shot into the air by a pair of “Dragons” as they walked into the castle.

Commenting on the overall success of the event, Bart Van der Beken, International Sales Director Events stated:

This yearly event is key to us, as we gather all our European top customers around our latest product developments. To do that, we always look for the ideal location and partners who can help us in doing that. Therefore, we choose Dublin because this lovely city offered us :

  • Smooth flight connections from all over Europe, as our guests came from 24 different countries
  • “Alive and kicking” city with multiple things to do
  • Excellent cooperation with AVcom as their professionalism, creativity and knowledge of the whole team was pivotal to the success of the event. I was particularly impressed with their eye for detail, their desire to really understand our needs and to go the extra mile to make the success the event that it was.
  • And last but not least, the Dublin Convention Bureau who gave us full assistance in finding the best suitable premises to meet our needs, for the convention as well as the gala dinner.

Mr. Van der Beken continued:

According to our customers, it was one of the best European Rental Partner meetings we ever had, and that’s what we were looking for.

Dublin proves its meetings destination popularity by playing host to several major conferences in 2007

Dublin will reinforce its credentials as an international conference destination to be reckoned with by hosting several major conferences in the latter part of 2007 including the 58th Annual Meeting of the European Association for Animal Production in August, the 21st World International Federation of Parks and Recreation Administration (IFPRA) Congress in September , the World Dairy Summit in early October and the 10th Annual European Congress of the International Society for Pharmacoeconomics and Outcomes Research (ISPOR) in October.

Jean Evans, CEO of Dublin Convention Bureau, commented

‘Dublin is very much looking forward to welcoming the 3000 plus delegates that these four meetings alone will bring to the city and we are confident that our unique Irish warmth and hospitality combined with excellent scientific programmes, professional conference management by some of our top PCOs such as Ovation, Conference Partners and Platinum One, great accessibility and high quality venues and accommodation will ensure memorable and successful events for both delegates and association organizers alike’. Dublin Convention Bureau

Ms. Evans continued

‘The value of the meetings industry to Dublin and Ireland is gaining increasing recognition - the conferences mentioned above are worth in excess of €4 million to the economy - and I am convinced that recent landmark announcements in terms of VAT refunds, infrastructural developments and of course the new Convention Centre Dublin will have a positive impact on convincing meeting planners to consider and place their business in Dublin when previously we would not have come onto their radar at all’

She concluded

‘Bringing people together to inspire and connect them both professionally and personally is one of our greatest strengths as a nationality and is a natural advantage for us in the meetings industry – now our improved offering in terms of venues, hotel stock, value for money and accessibility will help us marry the practical and intangible benefits of bringing a conference to Dublin and realise our goal of being a top ten European meetings destination’ .
